Why do we need Administrators for AccessPoint?
It’s all the about the security and safety of your company and your clients. By assigning an internal person who is familiar with your employees as the Administrator for your AccessPoint accounts, you can better manage the security of the information of your MILA loan pipeline. Also, MILA will launch several new enhancements within the AccessPoint system in the coming months, and assigning Administrators ensures that your company will have access to all its new features.

What is the role of an Administrator?
The primary role of the Administrator includes:
• Granting AccessPoint accounts to new LOs and Processors
• Removing accounts for any LO or Processor who leaves your company
There are two levels of Administrators: Company and Office.

What is the difference between a Company Administrator and an Office Administrator?
A Company Administrator is the point person for an entire organization’s AccessPoint account management and may view and manage the whole company’s database of users, including each branch as well as its headquarters.
The Office Administrator, on the other hand, has access and account management rights to his or her particular branch or office within a larger organization’s structure. The Office Administrator may also view and manage all loans in the AccessPoint pipeline for his or her assigned office.

Do we need to have both a Company Administrator and an Office Administrator?
Each company must have a Company Administrator. This helps you enhance your information security and lets you control who can and cannot use AccessPoint accounts. It will also grant you immediate permission to access future AccessPoint enhancements. MILA also recommends that you have a backup Company Administrator in case your primary Company Administrator is out of the office or leaves the company.
Although Office Administrators are not required, MILA recommends that companies operating out of two or more locations assign Office Administrators to each branch to ensure the timeliness of adding and removing approved users to your AccessPoint pipeline. Backup Office Administrators are also recommended.

Can one person be the Office Administrator for several offices?
Due to the functionality of AccessPoint, if one person would like to manage several offices or branches, that person must be assigned as a Company Administrator. Once they are in the Manage Accounts section, they can select the specific offices they are assigned to manage.

How do we select an Administrator? Is there an ideal candidate?
The selection of an Administrator(s) is entirely up to the leadership of your organization. MILA recommends only that you select someone that you trust with access to your organization’s pipeline and who has the authority and discretion to determine who should or should not be allowed access to the system.

What if I no longer want to be an Administrator? How do I change Administrators?
If you no longer want to have the responsibility of Company Administrator simply contact Broker Compliance at broker.compliance@mila.com and we will remove and replace you with an alternate Company Administrator that you identify.
If an Office Administrator would like to step down (or leaves the company), the Company Administrator may make this change in the Manage Accounts section of AccessPoint. The Company Administrator may also reassign users to the position of Office Administrator.

How many people in the company can be Administrators?
Currently there is no limit to the number of people a company can select as a Company or Office Administrator. MILA recommends each company have at least one full-time Company Administrator and one backup Company Administrator in the event that the primary individual is unavailable or out of the office to approve or remove new users.
Similarly, each branch of a company is recommended to name two Office Administrators to provide the same backup system.

What if there are multiple Administrators and they don’t agree on whether someone should get an AccessPoint account?
Currently, the default on AccessPoint is to defer to the selection of the Administrator who sends in the initial request. Once an account is enabled, an Administrator may go into the Manage Accounts tab in AccessPoint and add or delete users. The Company Administrator has the ability to override any Office Administrator selections.

How does the Administrator set up a new account?
There are essentially two ways that an Administrator can set up a new account.
(1) The Administrator can review his or her Account Management page of AccessPoint to see if any users
have requested an account.
(2) The Administrator can proactively add a user he or she knows should be in the database as a new account. They would simply log in to their Account Management page of AccessPoint and enter the new user information. The new user would then be notified via email that they have been invited into AccessPoint
In the case that a user requests an account with AccessPoint (1), he or she would log onto the program and follow the simple six-step Account Setup guideline that concludes with a notification appearing on the Administrator’s homepage that he or she has a new user to review. Assuming that user is then approved, he or she then receives an automated e-mail with a link. That’s it.
If on the other hand, the AccessPoint Administrator proactively wants to add a user to the account (2), he or she simply adds their vital information including their name and e-mail address under the Invite User section of the Manage Accounts Homepage and that Broker then receives an e-mail explaining that he or she has been invited to be a user on AccessPoint. That Broker then clicks on the link provided in the e-mail and follows the simple six-step setup is able to input all of the remaining information, including setting up his own password. Upon completion, the new user is then ready to start using AccessPoint.

How long does it take an Administrator to set up or delete an account?
Less than five minutes. Whether the Broker is set up by requesting access from the Administrator or if the
Administrator proactively adds a particular Broker to the database, there is minimal information needed to set someone up in AccessPoint.

How does the LO or Processor know when they’ve been granted or denied an AccessPoint account?
Once an Administrator accepts or refuses a user, the user is sent an e-mail notifying them of their status. If he or she was declined acceptance, the Administrator has the option of including a reason for this in that automated email.

Can MILA add/delete users to my account?
Only the Company and Office Administrators of your company have the ability to add or delete users. This further adds to the security of the system ensuring that only decision-makers most closely in tune with your company’s employees and structure can make those decisions.

What if we have brokers who are already using AccessPoint? Do they need to apply for a new account?
All existing AccessPoint users will be grandfathered in upon the launch of this updated version. Once the new system is up, Administrators will be able to view a list of their current AccessPoint users from the Manage Accounts tab and if need-be, make changes.

What if all Administrators are unable to respond to a users request for an account?
In order to provide enhanced security, the user must wait for a response from their Administrator.

How do I change administrators?
The administrator can be updated by having the company owner or current administrator submit a request to MILA’s Broker Compliance department via phone or email broker.compliance@mila.com. They must be able to provide the company name, broker ID number, and company address.
